Overview

THE ROLE:

The primary role of the Creative Operations Coordinator will be to assist the Creative and Video Production teams with daily production and administrative support.  Must be able to work on multiple projects, while setting priorities, timelines and deliverables for projects in various stages of production.  This includes working with internal and external partners, in addition to serving as a liaison to outside freelancers and vendors. This position requires attention to detail, strong communication and interpersonal skills while also being flexible to perform other responsibilities as required.

The worldwide events team at Herbalife partners with various corporate and regional teams to produce robust experiential and training events. A critical component of this partnership is the video production team.  Production team members are able to showcase their talent, creativity and expertise in this collaborative environment.  Using the latest technology with the attitude of continuous improvement, we are always working to push creative boundaries in new and exciting ways.

 

HOW YOU WOULD CONTRIBUTE:

  • Maintain schedule/ calendar of video-production contingent workforce and studio space: update daily schedule, track internal staff project schedules, and provide call sheets to assigned resources.
  • Monitor, notify, and solve potential resource bottlenecks, as needed. Assign resources as directed by manager and producers.
  • Verify that all freelance staff and vendors have a current fully executed contract and maintain digital files and list of currently contracted vendors and freelance staff.
  • Ensure accuracy, maintain and file accordingly all departmental files, including General Release Forms
  • Create/submit/track purchase requisitions for creative/video project resource/expense needs.
  • Maintain procedures for approvals process.
  • Assist with supporting department processes, coordination of meetings, agendas, and project updates, as needed.
  • Assist with on-site and location video/photo shoots as needed.
  • Assist with other duties and projects as requested.
  • May need to work nights/or weekends on occasion.

Qualifications

SKILLS AND BACKGROUND REQUIRED TO BE SUCCESSFUL:

  • Strong time-management, planning, scheduling, and organizational skills. Resourceful and a good problem solver
  • Strong written and verbal communication skills
  • Excellent customer service skills and ability to interact with all levels.
  • Ability to work independently and in a team environment.
  • Ability to juggle, prioritize and execute multiple projects.
  • Proficiency in MS PowerPoint, Excel, Word, Outlook — Mac / PC.
  • Familiarity with video formats, edit process and post-production eco-systems a plus

Experience

 

3 years’ experience in a Coordinator or Administrative role in creative, preferably in a corporate environment.

 

Education

 

Bachelor’s degree in marketing, communications, or creative field, or equivalent combination of education and related experience.
