Overview

POSITION SUMMARY STATEMENT: 

We are looking for a Specialist, in our Client Services department who has strong capabilities in project management, budget oversight, and timeline development. This position requires coordinating the discovery, design, development, and delivery of creative projects of varying scope and complexity. The Specialist will work closely with a creative team/producer to ensure creative development aligns with the budget and timeline.

 

Responsibilities include managing deliverables across design, social media, video production, event branding, and printed collateral. The Specialist will maintain clear communication between the requestor and the working team to keep projects on time and provide workflow consultation to colleagues and clients. Problem-solving skills are critical for this role.

The Specialist will use Workfront (global project management tool) to track project status, maintain communication with clients, build timelines, facilitate reviews and approvals, and meet program objectives. The Specialist will be expected to fast-track urgent client requests when needed.

The Herbalife Creative Studio Team is a close-knit group of writers, designers, producers, editors, motion artists, project managers, and creative leaders collaborating to bring solutions to our internal partners, regional stakeholders, and executive leadership team. 

 

Much like Herbalife Distributors, our Creative Studio brings a “No problem!” attitude to planning, execution, and delivery of a high volume of projects, often with fast turnarounds and modest budgets. 

 

Our work provides creative expression to sales and marketing materials, brand identity, internal and external communications, social media, executive messaging, live events, and other Distributor experiences.

DETAILED RESPONSIBILITIES/DUTIES

  1. End-to-End Project Management: Oversee project lifecycle from discovery to delivery across various creative mediums- such as collateral, video, motion, digital campaigns.
  2. Strategic Counsel: Provide guidance to clients regarding creative opportunities, limitations, timing, and deliverables. 
  3. Timelines and Communication: Draft detailed timelines, maintain clear stakeholder communication, and monitor dependencies. Ensure alignment on roles and responsibilities.
  4. Budget and Contracts: Negotiate with vendors, secure contracts, and manage established budgets. Collaborate with the Director of WW Client Services on financial aspects.
  5. Cross-Functional Guidance: Synchronize inputs from different divisions, lead cross-functional team meetings, and manage expectations throughout the project lifecycle.
  6. Problem Solving: Address complex artistic and technical challenges while adhering to project requirements and timelines.

 

Qualifications

REQUIRED QUALIFICATIONS: 

Skills

  • Comfortable with Workfront, including the ability to learn how to consult dashboards, reports, and onboard others
  • Familiarity with additional Project Management tools (e.g. Smartsheet, Trello, Wrike, Jira)
  • Excel skills, capable of managing budget spreadsheets
  • Ability to review and create Powerpoint and/or Keynote presentations
  • Efficient multi-tasker who thrives under pressure
  • Highly organized with a keen attention to detail.
  • Assist in brainstorming sessions and development of creative briefs
  • Understanding of the impact of visual and strategic brand expression on products and services
  • Capable of mananging conflicts effectively
  • Basic understanding of agile project management principles
  • Strong written and verbal communication
  • Familiar with design applications (e.g. Photoshop, Illustrator, InDesign), and printing processes
  • Experience working with diverse teams and demonstrating cultural sensitiviy
  • Embody the servant leader, lean into empathy, embrace kindness, and be a team player

Experience

  • 4+ years of project management experience in a fast-paced marketing agency or corporate environment with a focus on creative excellence and client service
  • Exposure to integrated marketing projects of varying scope and complexity.
  • Involvement with deliverables across design, social media, video production, event branding, product launches, mobile, printed collateral, copywriting, and digital mediums.
  • Famililarity with design management, resource utilization, and UX/UI principles
  • Experience in collaborating with outside creative agencies/vendors/global business partners

Education

  • Bachelor’s degree in Marketing, Communications or a related field
